Converting Attachments to Files and Notes using Magic Mover

Converting Notes and Attachments to Files:


1.       Pre-Requisite: -

a.       From the Setup >> User interface >>Check the box next to Enable Set Audit Fields upon Record Creation and Update Records with Inactive Owners organization-wide User Permissions.>>Save.

2.       Install the Magic Mover app with the below link.

3.       Create permission sets with the details provided below and assign them to the admin user with a Salesforce license.

a.       Setup >> Permission Sets >> New

b.      Name: - Notes and Attachments permission set

c.       License: - Salesforce

d.      Save the permission set.

e.      Under system permission: -

 i.      Enable Modify All Data and Set Audit Fields upon Record Creation and in User section enable View All Users.

f.        Click save button.

g.       Click on Manage Assignments and Assign the users to anyone who will be using this tool to migrate attachments or notes to Files. This typically includes admins.

 

4.       From the App launcher search and click on Attachments to Files.

5.       Select the data and object that you want to filter, and then click on the 'Filter' button. This will display the count of records per object. If the date is correct, click on the 'Convert' button.

6.       After the conversion is completed, you will receive an email with an attachment containing all the converted records.

Converting Classic notes to enhanced notes: -

 

1.       Pre-Requisite: -

a.       From the Setup >> Notes settings >>Check the box next to Enable Notes >>Save.

2.       From the App launcher search and click on Notes Conversion.

3.       Select the data and object that you want to filter, and then click on the 'Filter' button. This will display the count of records per object. If the date is correct, click on the 'Convert' button.

4.       After the conversion is completed, you will receive an email with an attachment containing all the converted records.

 

Limitations: -

1.       Production Orgs have a limit of documents and versions that can be modified per day (200,000). 

2.       If a single batch exceeds 100,000, it will throw the warning message.

3.       If we do exceed your org’s daily limit, you cannot convert any more attachments to files, and users in your org cannot upload files until 24 hours.
